T is the studebaker drivers club's policy that they will: be the primary resource for the host chapter for the planning and implementation of the meet. provide a meet book titled "how to conduct a studebaker drivers club international meet" to the host chapter covering most aspects of the event. work with the host chapter in selecting the meet hotel and will negotiate all contracts with the hotel for room nights, meeting rooms, comp rooms, food and all other issues involving the hotel the duration of the meet. all contracts will be signed by the sdc president and the imc chairman. work with the host chapter in selecting a tour company and will negotiate the contract with the tour company which will be signed by the sdc president and the imc chairman. direct the imc treasurer to submit a tentative budget to the imc and sdc board of directors one year prior to the meet and another six months prior to the meet. solicit chapters, members and studebaker related businesses for trophy sponsorships. compile material submitted by the host chapter for the pre-meet booklet and have it printed. select and work with a company to handle meet registrations. work with the antique studebaker club, the avanti owners association international and any other organizations who have been approved by the imc to have the sdc international meet as their official national meet. compile information for a pocket agenda and have it printed. set vendor registration fees for the swap meet, concours, banquet, meet handbook ads and trophy sponsorships. work with the host chapter to compile and submit turning wheels ads. work with the host chapter to provide security for display and concours vehicles, swap meet areas and the memorabilia room. provide lunch for the sdc national directors at their meeting. plan and conduct welcome night. optional ; plan and conduct the national auction. provide judges and conduct concours judging. provide judges with breakfast, lunch and beverages throughout judging day and will provide identifying hats or ribbons. design and provide dash plaques. design and provide all awards plaques or trophies. provide a meet photographer. provide a stenographer for the sdc board of directors meeting. provide liability insurance covering all sdc and host chapter activities. it is the sdc policy that their costs include but are not limited to the following: the cost of the registration company. the cost of producing and printing 1, 000 copies of the pre-meet booklet. 0 of the cost to print the optional meet booklet or master schedule. the cost of compiling and printing the pocket agenda. the cost of compiling turning wheels ads. the cost of the board of directors luncheon. the cost of room or space rental for all activities that are the responsibility of the sdc and not provided by the meet hotel. 1 2 the cost of providing security for the parking lot, concours area and swap meet throughout the meet. the cost related to welcome night. the cost related to the national auction. the cost of providing food or beverages for the concours judges and identifying hats or ribbons. the cost of designing and making dash plaques. the cost of designing and providing awards plaques or trophies. the cost of the awards banquet. the cost of the meet photographer and the cost of rental of any special equipment need for the banquet presentation not provided by the meet photographer. concluded on page 10.
